PKA Minutes of committee meeting 8th March 2003

1. Present:

3. Introduction
New committee members were introduced immediately prior to this meeting, resulting from the election of:
3.1. Chris Croft – Chairman
3.2. Troy Vinson – Secretary
3.3. Stuart Maxwell – Training Officer
3.4. Marcus Edwards – Webmaster
These members were elected as a positive move and having a large majority.

4. Club finance

  • The treasurer stated that the PKA was solvent despite being £800 down last year
    £2,500 was granted from the national lottery last season
  • The remaining £1,800 has recently been secured
  • Approximately £2,000 revenue was lost as a result of not hosting the world championships
  • Yearly subscriptions were outlined as follows
    £15 to PKA
    £15 for insurance
    £5 to BFSLY

5. Racing
Race fees will be increased from £15 to £20 per weekend as a measure to increase revenue

  • A query over the utilisation of race officials resulted in an agreement that the race officer and safety officer were to continue to take responsibility for adequate marshalling at each race event, through delegation as necessary. This will include selection of appropriate PKA members as necessary to occupy marshal posts as required by rotation
  • A number of race sites were suggested and these are to be researched (with respect to suitability, acceptance and availability) as follows:
    Hoylake – Garry Box
    Blackrock Sands – Kevin Hunt
    Pendine – Stuart Maxwell
    Mablethorpe – Steve Passey
    Westward Ho – Steve Passey
  • It was suggested that a number of dates be sought in respect of events at each site, from which a choice of suitable venues can be made
  • The race officer will continue to be eligible for reasonable expenses for travelling to the event
  • A strict racing timetable is to be developed and to include for each race event:
    Registration time
    Scrutineering
    Pilots meeting time
    Start time
  • This timetable will vary by event and will help to ensure that events take place in a timely manner, once dates have been secured and tides researched the timing for each planned event will be published
  • Race results are to be published as soon as practicable and will not be made available on the day

6. Pembrey and re-launch

  • It was later agreed that Pembrey would be an ideal site to offer a PKA open day where volunteers from the race squad and trainers could be available to offer insight into the sport, aspects of safety and the competitive element. This will involve negotiation with the Cefn Sidan Club in the likely event that access to Pembrey is secured.
  • It was also agreed that the PKA has a sizeable task in supporting clubs at all levels across the UK

7. New members starter pack

  • It was agreed that a starter pack would be designed for new members and a general information leaflet included as well as a copy of all relevant information, this is to be reviewed.

8. Safety

  • It was agreed that Kevin Hunt would consider amalgamation of the answered safety plan provided by Camarthen County Council in respect of access to Pembrey into the existing PKA risk assessment.
  • There was an indication that effort would be directed to building an adaptable risk assessment and mitigation plan that can be applied knowledgeably to club sites.

9. Note from secretary

  • This first committee meeting has served as an exploratory process and has been beneficial in gathering opinion from the members, much of this precipitating from throughout the varied interests of the membership at large. It was generally very positive and those present gave an encouraging view that initiative was not in short supply. The outlook is therefore bright and breezy.
